Our case study process
Case studies can easily become a full-time job: gaining alignment on strategy, coordinating stakeholders, project managing all the moving pieces, scheduling with customers, conducting effective interviews, taking post-interview notes, copywriting, editing, and managing review rounds.
Here's our tried-and-true process honed over the years, which takes care of all that for you and speeds up delivery:
1. Develop discussion guide
- Once you've paid, you'll receive a Calendly link via email to book your 1-hour kick-off call
- We'll discuss your needs, your growth barriers, how customer stories can grow your business, and what success looks like.
- We'll gather enough background so we can create an interview guide, tailor-made for your product, business, and unique challenges.
2. Identify candidates
- While we're finalizing the interview guide with you, we'll work with your Customer Success or other teams to identify 1-2 customer candidates that we'll need to get started.
- We'll prioritize candidates by availability, the industry or use case, based on your business needs.
3. Gather customer context
- Focusing on your top-priority customer candidates, we'll interview the CSM or salesperson closest to the account.
- We'll gather context around the client's success, so that we're well prepared to have an insightful customer interview.
4. Schedule the interview
- As we're gathering context on the account, we'll contact the customer, do the scheduling dance, and get the interview booked.
- Alternatively, your team is welcome to introduce us to your client.
- If we are doing the outreach, your team will always be cc'd and the initial ask will be based on a predefined email template, where you have the final say.
5. Conduct the interview and get approvals
- We'll conduct the interview and record the call so you can reference it for research and training purposes.
- Plus, we'll get your customer's approval to release a case study with their name, title, company, and logo.
6. Deliver your case study
- Finally, we'll turn each customer interview into a case study, including copy and editing--ready for delivery to your Sales, CS, and Marketing teams.
Once we've completed the interview (step 5), we'll deliver your case study within 5-7 business days.
